Subject matter experts working for BT Global Services, covering areas such as Tax, Regulatory and Corporate Compliance, identified the need to develop a web based application. The tools objective was to reduce the time spent on complex bid processes and help identify irrecoverable indirect tax charges, withholding tax charges and regulatory fees that sometimes ran into the $millions.

Ucensis were approached to help the experts turn their ideas into a fully specified system design. Working across two continents, the Ucensis team ran a number of interviews, workshops and task analysis sessions to identify and fully understand both the problem and opportunity.

Working with the experts Ucensis began to compile user stories and data flows that captured both requirements and began to model the way data and rules would interact. Close collaboration with the experts over many months help define and refine the way the system might work to meet the business requirement.

Once the team were happy that the business objective could be satisfied, Ucensis began work on modelling the user experience. The rapid production of wireframe low fidelity prototypes enabled Ucensis to take the concept into the bid community and test the teams thinking with actual users. This iterative process not only helped refine the interaction design, it also encouraged buy-in from key members of the bid community and identified other opportunities not yet considered. Always mindful of the project deadlines, the Ucensis team captured additional requirements but worked with the experts to prioritise them.

With the interaction design in a satisfactory state, the Ucensis team created a rendered version that followed a defined scenario and took it back out into the community to complete some important usability testing. The same rendered version was also used to present the tools potential to senior stakeholders within the organisation.

During this period, Ucensis managed the process and ensured that every detail was covered. Once confident the right solution had been defined, Ucensis began writing up detailed specifications and documentation to hand over to the selected build team.
